Is it possible to have a document in both paper and digital formats?Having both paper and digital formats of a document for several months is one way to soften the digital transition. Apart from the additional cost, we feel it may also lead to procrastination, however. So do this at your discretion. If you do, we recommend you not do so for more than 3 months. |
Do employees receive a registration reminder? After the 1st document is deposited, users who have not confirmed their registration are reminded under the conditions established in Digiposte’s initial settings. Digiposte can launch manual campaigns at the issuer’s request. For this, the issuer must get in touch with their sales contact. Only users who have an e-mail address registered in the reference document are automatically reminded by Digiposte (up to 5 automatic reminders). Your company must remind users who do not have an e-mail address. |
What type of e-mail address should I include in the reference document (professional / personal)?Digiposte accepts both professional and personal e-mail addresses. However, before using personal e-mail addresses, please check with your legal department. If the professional e-mail domain extension is longer than 3 characters, the issuer should contact Digiposte to ensure the e-mails can be delivered. |
What should I do if there's a mistake in the reference document? If there's a mistake in the reference document, you should immediately contact the distributor or Digiposte for customers who are directly connected. The situation will be analysed and an appropriate solution implemented. |
How should I inform my users of codes 1 and 2?The document issuer should tell users the codes they need to register for the safe in any way appropriate. If the codes have been randomly generated, Digiposte recommends they be sent by post, individually (do not include both codes 1 and 2 in the same letter). |
How do new employees register for the service?Once users are listed in the reference document, registration is generated so they can register and access their Digiposte safe. |
How can registration be cancelled?Registration can be cancelled in any way. Digiposte recommends having the user do the cancellation personally via the safe. |
How do I deposit documents in safes? The standard model for deposits concerns customers or distributors who want to deposit a batch of documents. This model involves three steps:
|
Can we choose code 1 and code 2?Codes 1 and 2 identify the user at the time of registration. They can only be selected if the following rules are respected:
As long as these rules are respected, the company can choose how to make up the codes. |
What should I do if I can't deposit a document? If you can't deposit a document, first of all, make sure the user’s registration has been activated. In most cases, a document cannot be deposited because the registration is no longer valid. In this case, give the user the document in paper format. |
Does Digiposte provide presentation support? When your company registers with Digiposte, it receives a standard communication kit. This kit contains generic and basic communication components that will enable you to learn about the solution and the registration process. To receive a custom kit with communication materials adapted to your specific context, you must subscribe to the Digicoach support service. Contact your distributor to find out more. |
How can I make sure my users have received their Digiposte invitation e-mails? (IS restriction)Once the e-mail has been entered in the safe creation reference document, Digiposte sends the invitation e-mail. This happens either when the safe is created or when the document is deposited, depending on the selected configuration. To ensure a maximum delivery rate, the Digiposte domain must be whitelisted to ensure the e-mails are not blocked or sent to the Junk Mail folder. |
Can I re-use the registration number of an employee who has left the company? You can re-use the registration number of an employee who has left the company as long as that user's registration has been cancelled and a new registration in the name of the new employee has been created. |
How can Digiposte help you with the deployment? Our operational teams provide backup for your deployment and will help with any technical-functional trouble you encounter. As far as communication goes, with the Digiposte standard communication kit you can create and distribute your own communication. To maximise our registration rate and ease your workload, you can also call upon the Digiposte digicoach consultants. They are trained in providing support for change, and will draw upon their experience to establish a communication plan for you, and create custom communication kits. They will also provide post-deployment support (After Sales, reporting, reminders, etc). Ask your dedicated contact to find out more. |
Can I use my social security number (NIR) to register with Digiposte? The use of the NIR is strictly regulated by law. And when HR documents are dematerialised, it cannot be used in whole or in part. |
What is a routing code?A routing code is technical data that uniquely and clearly identifies the path taken to deposit documents in a specific safe. So basically it’s the link between the issuer of the routed documents (such as the employer) and the user (like the employee). |
Can a user with no e-mail address register?Digiposte has made it possible for users who do not have an e-mail address to register by creating a means to register using a generic URL of the type "register.digiposte.fr/companyname" and, for users who already have a safe, a way to register via their Digiposte, in the Organisations section. |
What's the difference between refusing flows, cancelling a flow and closing a safe?Refusal is expressed before a safe is created, while cancellation happens afterwards. The user can close their Digiposte safe at any time. Closing the safe results in the permanent deletion of the safe. |
What is registration status?A user's registration may have a different state or status at any given time. This status can change depending on what the employee does. At the time of registration, whether already activated by the user or not, the registration is confirmed. If the user then cancels it, the registration status changes to “cancellation requested” and acknowledgement is requested. Once acknowledged, the registration status changes to “cancelled". |
Can a document be deleted from a safe after it has been sent?Yes, a document can be deleted from a safe after it has been sent. If the safe has not yet been activated, the issuing organisation (such as the employer) may request deletion of the document (invoicable option). When the safe has been activated, the user (e.g. the employee) can delete the document from their safe. If a user is unable or refuses to delete the document, the issuing organisation may ask Digiposte to do so if they have a prior consent form issued by the owner of the safe. |
